Trips and Travel Coordinator
Position Title : Trips and Travel Coordinator
Department : Operations Department
Report to : Director of Facilities and Operations
Working Hours : Monday – Friday (7:00 AM – 4:00 PM)

Purpose of Job:
To be responsible for developing and managing the school trips management system, reviewing, updating and enforcing policies and procedures and providing support for teachers and staff in regards to travel providers and ensuring compliance with all trips and travel processes and preparation. To identify and manage risk related to school travel. Liaise with the Ministry of Education and ISOS to ensure compliance with all local and international requirements.
Responsibilities:
Overnight local and international trips
- Review health and safety risk assessments for all student travel locally and internationally
- Carry out site visits with trip leaders and ensure that risks identified through risk assessments are amended internally or by external providers and control measures implemented
- Be knowledgeable on all relevant policies and apply this knowledge to the assessment of all safety procedures to ensure outside providers are compliant with international best practices, internal safeguarding policy expectations, and Health & Safety expectations
- Complete due diligence of new and current providers per school safeguarding procedures and record all details in the school’s trip planning system by:
- checking health and safety and insurance policies
- verifying business licenses
- checking procedures and emergency action plans
- completing equipment check sheets
- verifying and checking staff qualifications
- ensuring all providers sign and adhere to legal contracts as set out by the school
- Meet with the Director of Facilities and Operations to advise on providers, risks, financial implications, staffing, and logistics
- Assist trip leaders and staff with:
- the planning, organizing, and risk assessment of off campus expeditions and camps;
- the production and distribution of trip packets including all relevant information
- the booking of venues, flights, and accommodations when needed
- ensuring that any modifications to the expedition program are risk assessed and appropriate control measures are implemented, raising any concerns with the Director of Facilities and Operations or the appropriate faculty member
- In-person pre-trip safety briefings with key information and risk mitigation
- ensuring all tasks are completed in an agreed time frame
- the supporting of parent meetings for overnight trips
- Liaise with the Thai Headmistress to ensure all Ministry of Education regulations are being followed
- Coordinate booking of nurses, security guards, and lifeguards and ensure all safety equipment and first aid kits are provided for each trip as required
Day, Sports and Activity Trip Management
- Ensure all trips have Head of School approval at the planning phase
- Review risk assessments, and make recommendations in relation to all-day, sports, and academic trips
- Complete due diligence of new and current providers per school safeguarding procedures and international best practices, recording all details in the school’s trip planning system
- Communicate with trip leaders, ensuring all paperwork is submitted to relevant authorities within appropriate periods
- Organize and attend pre-trip meetings with the trip leader to discuss all aspects of the trip and ensure parent meetings take place with trip leader where required
- Ensure staff complete feedback through the Operoo system
Budgeting and Finance Management
- Review and monitor school insurance policies provided for expeditions, camps, day trips, and activities
- Obtain quotes from hotels, outdoor education providers, transport, and catering, to build trip budgets (International/Overnight/Day Trips)
- Maintain records of the number of trips, and participants for projected against actual insurance costs
- Create and track budgets for expeditions, gaining approval from the CFO
- Support with reviewing budgets for other school trips, highlighting any risks to management and mitigating of financial risk
- Manage reimbursements arising from canceled trips, and credit notes with providers and hotels.
- Review and report actual budget against forecast budgets for trips and expeditions.
Safeguarding
- Ensure all external providers for expeditions and trips are aware of the school safeguarding policy and requirements, liaise with Child Safeguarding Officers to deliver training where necessary, and keep records of training or evidence of providers receiving training
- Support with all aspects of safeguarding requirements for external providers on appointment and ensure all external providers for expeditions and activities have completed recent safeguarding checks, storing records per PDPA regulations
- Ensure all external providers complete code of conduct forms, and keep relevant records.
Training
- Coordinate Emergency First Response training and renewal of EFR qualifications, ensure Emergency First Response staff presence on expeditions and trips
- Plan, coordinate and deliver:
- staff trip-leaders emergency response training before DELVE and other trips
- Operoo trip management system training for all staff
- LOGIT crisis management training to trip leaders and relevant staff
Transport and Logistics (Trips)
- Arrange logistics for the pre-visits to liaise with hotels, venues and providers
- Obtain whole school medical, dietary and parent permission for all trips via Operoo and PowerSchool and confirm food provision requirements for any trip
- Arrange transport for all trips, expeditions and activities, liaising with security to plan departure and drop off locations and procedures
- Ensure trip letters are accurate, provide enough details, and explain any reimbursement process
- Process PRs and POs for flights, hotels, transport, petty cash for all trips and expeditions, ensuring payments will be made on time
- Liaise with the Finance department to ensure trip and expedition payments have been processed and paid on time
- Strategically and cost-effectively manage flight bookings (trips, expeditions, staff visits and training) at all stages of the process through to completion.
- Research visa requirements for trip locations and support students and staff in the visa application process by providing supporting documents required for students - ensure that storage of such documents is in line with data protection expectations
- Ensure mobile phones, lightning alarms, first aid kits, spinal boards, and other trip-related equipment is maintained, checked and ready to use.
- Review the Operoo system to ensure staff lists, EFR and Lifeguard data is up to date and relevant.
Other Responsibilities
- Assist the Deputy Head of School/CFO in implementing and reviewing aspects of operational school policies related to travel.
- Undertake other reasonable duties as requested by the Director of Facilities and Operations.

● Prospective Family Engagement:

Accounts Payable Officer

Scope of Services:
Accounts Payable officer is responsible for managing all aspects of accounts payable functions within ISB, ensuring that all payments are processed in a n accurate, timely, and efficient manner. The position requires strong attention to detail, a solid understanding of accounting principles, and the ability to work effectively with various departments to maintain a smooth financial workflow.
Job Responsibilities:
- Receive and verify invoices for goods and services provided to the school, ensuring that all information is accurate (e.g., amounts, dates, and terms).
- Match invoices with corresponding purchase orders or contracts to ensure that the school received the goods or services as billed.
- Ensure invoices are appropriately approved by the relevant department heads or budget holders before processing for payment.
- Reconcile accounts payable ledgers to ensure all payments and outstanding invoices are properly recorded. Investigate and resolve any discrepancies.
- Communicate with vendors regarding billing inquiries, payment statuses, and any discrepancies.

- Prepare the PND54 and PP36 for overseas payment.
- Prepare the request for withholding tax certificate for overseas vendor.
- Review outstanding staff advance, identify due and overdue advances, ensure that the overdue advance is cleared by the due date.
- Review long outstanding PR and identify expenses to accrued.
- Support the Chief Accountant with month-end closing procedures related to accounts payable, ensuring that all liabilities are accurately recorded in the financial statements.
- Work closely with other departments, such as Procurement and School Secretary, to ensure that all expenses are properly accounted for and that any issues or discrepancies are resolved in a timely manner.

Theater & Events Support Assistant/Technician
As Theater & Events Support Assistant /Technician, you will play a crucial role in assisting Theater Manager in planning and supporting all performing art productions and events at ISB. Theater & Events Support Assistant / Theater Technician will work individually and as a part of a team in liaison with the Theater Manager, Director of Arts and Activities, Theater staff, teachers, students and members of the school community for providing guidance and support of the safety operating theater equipment. The main responding areas are Theaters, MPB, Outdoor Stage, Multi-purpose spaces and performing art classrooms.

- จบการศึกษาระดับปริญญาตรีวิศวกรรมศาสตร์สาขาเครื่องปรับอากาศ ปวส หรือประกาศนียบัตรวิชาชีพ ด้านไฟฟ้า เครื่องปรับอากาศ เครื่องกล หรือเทียบเท่า
- มีประสบการณ์อย่างน้อย 3 – 5 ปี ในงานด้านเครื่องปรับอากาศ
- มีประสบการณ์ด้านระบบปรับอากาศขนาดใหญ่ (Chiller) (จะพิจารณาเป็นพิเศษ)
- สามารถติดตั้ง หรือ ล้างซ่อมแอร์
- มีทัศนคติที่ดีในการทำงานและมีใจรักงานบริการ
- มีสุขภาพร่างกายแข็งแรง
- ขยันและซื่อสัตย์ในการทำงาน และ เข้ากับเพื่อนร่วมงานได้ดี
- สามารถอ่าน พูด และ เขียน หรือ เข้าใจภาษาอังกฤษพอใช้ (จะพิจารณาเป็นพิเศษ)
- สามารถใช้งานคอมพิวเตอร์และซอฟแวร์ Microsoft Office ได้ดี

เวลาการทำงาน: จันทร์ – ศุกร์ 13.30 น. – 22.00 น. เสาร์ 8.00 น. – 12.00 น. หรือ อาทิตย์ 8.00 น. – 12.00 น.
หยุดสัปดาห์ละ 1 วัน ครึ่ง

หน้าที่ขอบเขตความรับผิดชอบ
- ดูแลความสะอาดบริเวณห้องเรียน ห้องประชุม โรงยิม สนามฟุตบอล เบสบอล ภายนอกและภายในอาคาร อัฒจรรย์ ห้องน้ำ ทางเดินต่าง ๆ สนามเด็กเล่น
- บำรุงรักษาอุปกรณ์เกี่ยวข้องทั้งหมด
- ช่วยจัดสถานที่ ช่วยเหลืองานด้านอื่นๆ ตามที่ได้รับมอบหมาย
- งานขนย้าย
- อื่น ๆ ตามแต่ความต้องการของกลุ่มผู้ขอหรือตามแต่หัวหน้างานจะมอบหมาย (ครู นักเรียน ผู้ปกครอง พนักงานตามหน่วยงานอื่น)
คุณสมบัติของผู้สมัคร
- จบการศึกษาระดับชั้นประถมปีที่ 6 เป็นอย่างต่ำ
- มีประสบการณ์อย่างน้อย 1 ปี ในงานที่เกี่ยวข้อง
- อายุไม่เกิน 40 ปี
- สุขภาพแข็งแรง ไม่มีโรคประจำตัวที่เป็นอุปสรรคในการทำงาน
- มีทัศนคติที่ดีในการทำงาน

เดินตรวจภายในอาคารอย่างสม่ำเสมอเพื่อป้องกันเหตุ อันตราย หรือเหตุร้ายต่างๆ

เดินตรวจสอบประตูหนีไฟ ต้องไม่มีสิ่งใดกีดขวาง และเปิด-ปิดได้สะดวก เสมอ

เดินตรวจสอบลานจอดรถยนต์ เพื่อค้นหารถยนต์ที่ไม่มีสติ๊กเกอร์อนุญาตเข้ามาจอด และรถยนต์ที่ติดเครื่องยนต์ไว้

ปิด-เปิดประตูอาคารเรียนและห้องเรียน ต่างๆ ให้เรียบร้อย
